TERMS AND CONDITIONS – WEBINAR SPONSORSHIP
You will receive written acknowledgement of your booking. If you do not receive this, please contact Akabo Media on +44 (0)20 8037 1779 to confirm that your booking has been received.
A webinar sponsorship booking is confirmed only when accepted by Akabo Media in writing. The fee stated on the invoice relates to the agreed webinar sponsorship package for the specific confirmed webinar date set out in the booking confirmation or invoice. Unless otherwise agreed in writing, payment is due in full in accordance with the payment terms shown on the invoice.
If the client requests that a confirmed webinar date is changed, Akabo Media may, at its discretion, agree to reschedule the webinar subject to payment of a rescheduling fee. Unless otherwise agreed in writing, the following charges will apply:
(i) rescheduling within the same calendar quarter: 15% of the total booking value;
(ii) rescheduling to a different calendar quarter within the same calendar year: 25% of the total booking value;
(iii) rescheduling to the following calendar year: 40% of the total booking value.
Any request to move a webinar date must be made in writing and is not effective unless confirmed by Akabo Media in writing. If Akabo Media is unable to accommodate the requested new date, the original booking will remain in place and the original fee will remain payable.
All sponsors, speakers and participating organisations must provide all required materials no later than 28 days before the confirmed webinar date unless otherwise agreed in writing. Required materials may include company logos, session titles, presentation titles, abstracts, speaker biographies, headshots, slides, promotional copy and any other content reasonably required by Akabo Media to market and deliver the webinar.
If materials are submitted late, Akabo Media cannot guarantee their inclusion in promotional campaigns or webinar-related output. Akabo Media reserves the right to use previously supplied materials, approved placeholder copy or other reasonable substitute content where necessary. Akabo Media accepts no liability for any reduced promotional exposure resulting from late submission.
Akabo Media reserves the right to edit or request amendments to webinar titles, abstracts, speaker biographies, slides and other submitted materials for tone, clarity, accuracy, legal compliance, editorial standards and brand fit. Akabo Media may reject content that it reasonably considers unsuitable, misleading, non-compliant or inconsistent with the agreed format of the webinar.
The client is responsible for ensuring that its speakers are available and properly prepared for the webinar and that all submitted materials are accurate, lawful and do not infringe any third-party intellectual property or other rights.
Akabo Media webinars are editorially moderated. Akabo Media reserves the right to make reasonable changes to the format, running order, moderator, timings, platform and speaker line-up where necessary to deliver the webinar successfully.
Where the webinar package includes lead or registrant data, any such data will be shared only in accordance with applicable data protection law, Akabo Media’s privacy notice and the permissions or lawful basis applicable to the relevant registrants. The client agrees that any personal data shared with it will be used only for lawful business follow-up related to the webinar sponsorship and in compliance with UK data protection law. The client is solely responsible for its subsequent use of such data.
Standard sponsor webinar packages are intended for solution providers and their end-user customers only where agreed in advance by Akabo Media. For these purposes, an “end-user customer” means an organisation whose primary role is to buy, operate or use relevant products or services for its own internal business operations and not to market, resell, distribute, broker, advise on or compete in the supply of those products or services. Akabo Media reserves the right to determine, at its sole discretion, whether any proposed participant qualifies as an end-user customer. Akabo Media may refuse inclusion of any organisation it considers to be a vendor, consultant, agency, intermediary, media owner, event organiser or other sponsor-type organisation.
Any cancellation by the client must be made in writing and will only be effective once acknowledged in writing by Akabo Media. All fees are non-refundable unless otherwise agreed in writing. If the client cancels after the booking has been confirmed, the full fee remains payable.
Akabo Media reserves the right to postpone, reschedule, change the format of or cancel a webinar where reasonably necessary, including for operational, technical, editorial or circumstances beyond its reasonable control. Where Akabo Media cancels a webinar and is unable to offer a reasonable alternative date, it may offer either a credit against another Akabo Media webinar product or a refund, at its discretion. Akabo Media shall not be liable for any indirect or consequential loss arising from such change or cancellation.
If a booking is made by telephone, email or signed order form, the client is deemed to have accepted these terms and conditions.
